Receptionist
We currently seek a high caliber Receptionist for a long-term contract basis within our client’s team of experienced professionals. Based in Dublin, CA.
Job Requirements
Bulleted list of duties/experience:
Answers and directs incoming calls and delivers messages
Greets and registers all visitors entering and leaving the office
By phone, notify individual(s) of visitors’ arrival for escort;
Obtain temporary/permanent badges as needed;
Issue temporary badges to visitors as requested;
Maintain record of temporary badge issuance
Process incoming and outgoing couriers – local, domestic, international
Maintains courier supplies
Receiving/sorting/ processing incoming/outgoing mail
Schedule meeting and/or conference rooms as needed
Typing of Word, Excel and PowerPoint documents in support of Project administration personnel Perform other related duties as assigned or as the situation dictates;
May help other staff members in overload situations or during absences
Requirements:Professional appearance
Excellent oral and written English communication skill
Experience working in a busy, multitasking environment is required
Ability to answer and direct calls on a busy, multi-line system
Ability to greet visitors quickly and handle their requests effectively
Experience in MS Word and Excel software
Excellent organizational skills Filing and copying experience
Previous office or reception experience is required Domestic/international courier processing experience is an asset
Comfortable using MS office software, email programs, and able to learn new software
Demonstrated customer service skills
Ability to remain cool, calm, diplomatic and tactful when communicating with employees, clients, visitors and suppliers Display initiative and resourcefulness by volunteering assistance to other departments, during slow times at reception.
Ability to lift 50 pounds
Ordering business cards per established procedures
Managing office/file cabinet key inventory Managing bookings and inventory of projector and digital camera equipment Ordering supplies for Office Services & Reprographics Ordering printer toner cartridges for the Dublin office
Creating badges for new employees
Putting papers in the Printers/Plotters
High School diploma/GED required
